Every meeting must have an organizer who is the person or organization assigned to manage the event, and in association with a sponsor, decide the subject or subjects to be presented. It is the organizer’s task to select a venue, assemble a guest speaker or panel of guest speakers, formulate an invitation to interested parties, appoint a chair and the required staff to conduct the event. The organizer is the principal agent who should plan everything for the meeting and brief the selected chair, secretary and ancillary staff, in their required duties. Therefore, if you have something to clarify or confirm, it is the organizer, rather than the sponsor, that you should turn to.

One of the major responsibilities of the secretary is to circulate the program and publish the preprints and proceedings of presented papers or abstracts. As the secretary’s name appears on all publicity of a conference, this is the first person you contact and the one you complain to when necessary. It is also the secretary who has the task of introducing the chair to the audience. He/She is also responsible for meeting minutes and distributing the minutes to all Organizing Committee members.
