Section 1 Introduction to Trade Documents
1. Functions of Documents In international trade, a document can serve many purposes, including: (1) proof of ownership of a shipment (eg. the negotiable bill of lading), (2) evidence of the particulars of a sale (eg. the commercial invoice), (3) proof or evidence of the country of origin of goods (the certificate of origin), proof of insurance coverage (the insurance policy or certificate), (4) reassurance of the quality or quantity of goods in a shipment (eg. the inspection certificate).

Section 2 Transaction Documents
Transaction documents are generated by the buyer and seller, ranging from a simple letter of inquiry to a contract for the sale of goods, and a commercial invoice. The commercial invoice is issued by the exporter/seller, including the elements of name and address of the seller and the buyer, date of issuance, invoice number, order or contract number, quantity and description of the goods, unit price, total price and total invoice amount, shipping details, terms of delivery and payment and so on. The description of the goods and terms in the commercial invoice should correspond precisely with the description of the goods in the contract of sale and with the documentary letter of credit (if that form of payment is used).
